This policy explains how the Nottingham Dental Society ("NDS", "we", "us") collects, uses and protects your personal data when you use this website (nottinghamdentalsociety.co.uk), subscribe to our mailing list, book onto an event or contact us. It also explains how we use cookies.

The personal data we collect

  • Mailing list – if you ask to join our mailing list we collect your name, email address and, where you provide it, your practice and professional role.
  • Event bookings – when you book a place at an event we collect the details you enter into the booking form, which may include your name, email address, telephone number, practice, professional role, dietary requirements and payment reference.
  • Enquiries – if you email us we collect your email address and the contents of your message.
  • Website usage – if you consent to analytics cookies we collect limited information about how you use the site (see "Cookies" below).

How we use your data and our legal basis

  • To administer event bookings and confirm your place – necessary for the performance of a contract with you, or to take steps at your request before entering into one.
  • To send you information about NDS events, meetings and society news by email – on the basis of your consent, which you can withdraw at any time.
  • To respond to your enquiries – on the basis of our legitimate interest in communicating with members and prospective members.
  • To understand and improve how the website is used – on the basis of your consent to analytics cookies.

Cookies

How long we keep your data

We keep mailing list data until you unsubscribe or ask us to remove you. Booking records are kept for up to two years after the relevant event for administration and accounting purposes. Email enquiries are kept only for as long as needed to deal with the matter raised.

Your rights

Under the UK GDPR you have the right to access the personal data we hold about you, to have it corrected or erased, to restrict or object to its processing, and to data portability. Where we rely on consent, you can withdraw it at any time – every newsletter email contains an unsubscribe link, and you can email us using the details above. Exercising these rights is free of charge and we will respond within one month.
